Team Assistant/Office Manager

This position is closed!, a young tech-company that develops innovative text-processing solutions for multinational enterprises, is searching for an experienced, reliable and task-oriented Team Assistant/Office Manager to join our head office in Vienna.

In this full-time position, you will work directly with senior management and will be responsible for a number of administrative duties. You will also perform office management tasks to ensure smooth daily operations for the entire company.

The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced environment.

What you’ll be working on

  • Coordinating executive communications, including responding to emails and interfacing with customers

  • Preparing internal and external corporate documents for team members, customers and partners

  • Coordinating activities and travels and providing logistical support such as making travel arrangements, scheduling customer appointments and internal meetings, and processing expense reports

  • Maintaining an organized filing system of electronic documents, and updating our customer database in a timely manner

  • Assuming ownership of all aspects of the office facilities (e.g. ordering office supplies, maintenance etc.)

What you must have

  • Minimum of three years of administrative assistance and general office support experience in similar positions, preferably in an international environment

  • Professional working proficiency in written and oral English and German

  • Advanced Microsoft Office skills and ability to quickly become familiar with company-specific programs and software

  • Familiarity with using macOS (Apple computers)

  • Strong organizational skills and multi-tasking abilities

  • Friendly and professional demeanor and the ability to communicate effectively at all levels

  • European Union citizenship or authorization to work in Austria
